This Privacy Policy explains how TruckRoll ("TruckRoll", "we", "us") collects, uses, shares, and protects personal information when you visit truckroll.io, talk to our AI agent, or use our AI call-answering service for HVAC businesses (the "Service"). By using the Service you agree to this policy.
1. Information we collect
Information you give us
- Contact & business details you submit (name, company, phone, email, the software you use, and anything you type into a form).
- Account and billing information if you become a customer.
Caller information (on behalf of our customers)
- When our AI answers a call for an HVAC business, we process the caller's phone number, the audio of the call, a transcript, and the job details discussed (e.g. name, service address, the problem, and the appointment booked).
Information collected automatically
- Usage and device data such as IP address, browser type, pages viewed, and similar analytics, collected via cookies and similar technologies.
2. How we use information
- To provide, operate, and improve the Service — including answering calls, qualifying jobs, and booking appointments into our customers' calendars and dispatch software.
- To send booking confirmations, transcripts, and notifications to the relevant business.
- To respond to demo requests and provide customer support.
- To secure the Service, prevent fraud and abuse, and comply with legal obligations.
3. Call recording & transcripts
The Service records and transcribes phone calls so that businesses can review what was said and confirm bookings. Where required by law, the AI discloses that the call may be recorded, and call handling is configured to follow applicable consent rules in the relevant jurisdiction. Our customers are responsible for ensuring they have a lawful basis to record calls in their area; TruckRoll acts as a data processor for caller data handled on a customer's behalf.
5. Data retention
We keep personal information only as long as needed to provide the Service, meet our legal obligations, resolve disputes, and enforce agreements. Call recordings and transcripts are retained according to our customers' settings and applicable law, after which they are deleted or anonymised.
6. Your rights & choices
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at privacy@truckroll.io. If your data was processed on behalf of a business you called, we may direct your request to that business. You can also opt out of marketing emails at any time using the unsubscribe link.
7. Security
We use technical and organisational measures — including encryption in transit, access controls, and vendor due diligence — to protect personal information. No method of transmission or storage is 100% secure, but we work to protect your data and review our practices regularly.
